Privacy Policy
Presence (“we”) is operated by Open Purpose Technology Limited Company (company number CS122470626), MH 25A, West Legon, Ayariga Street, Accra, Greater Accra, Ghana. This policy explains how personal information is handled when an organization uses Presence, when a member receives a pass, and when anyone visits our website.
The organization is in control
When a church, event, company or club (“the organization”) uses Presence, it decides what member information to collect and why. The organization is the data controller; Presence acts as its processor, on its instructions.
Information we handle
- Organization & admin: name, email, sign-in credentials, billing details.
- Member information the organization adds: name, phone, date of birth, gender, residency, department, community, photo and emergency contact.
- Check-in records: when and where a pass was scanned.
- Messages: notifications sent to members and whether they were read.
- Giving records: amount, fund, method (Mobile Money network or card) and a reference. Card and Mobile Money credentials are handled by Paystack; Presence never sees or stores them.
- Diagnostics: basic logs needed to keep the service running.
Payments
Giving and payments are processed by Paystack and settle directly to the organization’s own account. Presence never holds the funds and never receives card or Mobile Money credentials.
How the information is used
To issue passes, check people in, show the live count, send reminders and messages, produce reports, and provide support. We do not sell personal information.
Notifications
Members can receive messages on their Apple Wallet pass, as web push, in the in-pass inbox, and, where the organization enables it, by WhatsApp or SMS. A member can turn notifications off on their device and remove their pass at any time.
Who processes data for us
Google Firebase / Google Cloud (hosting and database), Apple (Wallet passes and push), Google (Google Wallet), Paystack (payments), WhatsApp / Meta and SMS providers (messaging), Resend (email), and Google Analytics (visits to our public website, only as described under “Cookies and analytics”). Each is bound to handle data only to provide their service.
Keeping and deleting data
Member information is kept while the organization’s account is active and until the organization deletes it. Read notifications delete themselves after seven days.
Cookies and analytics on our website
Our public website (the home page, Product, Pricing, Help, Developers, Privacy, Terms, the Christmas page, the Studio manual and the /caught page you reach from our ads) uses Google Analytics to count visits and see which pages and buttons people use, so we can improve the site and know which ads work. Presence is the controller for this website data; Google acts as our processor. It is the only third party that measures anything here: there is no advertising pixel, no tag manager and no session recording anywhere on this site.
Where it never runs: the dashboard, passes, tickets, credentials, giving, check-in and every invitation or guest link. Nothing about members, passes or payments is ever sent to Google Analytics, and nothing you type into our ads (such as a first name) leaves your device.
Your choice: analytics cookies are off until you choose “Accept all” in the cookie banner. Everywhere, not only in the UK and the EU. Until then Google receives only basic, cookieless signals (for example that a page loaded) and no cookie is set. Advertising and personalisation storage is always off; we do not use Google Analytics data for ads.
We set no cookies of our own. The only cookies this site can put on your device are Google Analytics’, and only after you accept. What we keep ourselves is in your browser’s own storage, listed below, and is never sent to us.
What is collected: pages viewed, the link or ad that brought you (for example utm tags), taps on buttons on the /caught page, approximate location at city level, and device and browser type. Google Analytics does not log or store IP addresses.
Kept for: no longer than 14 months, then deleted by Google.
Leaving a review: if you write one on our home page we store what you typed, and a one way hash of your network address so that one browser cannot post fifty reviews. The address itself is never written down, and the hash is salted so it cannot be turned back into one.

You can change or withdraw your choice at any time, and withdrawing deletes the Google Analytics cookies from this site rather than only stopping new ones. You can also block cookies in your browser, or install Google’s opt-out add-on at tools.google.com/dlpage/gaoptout. Clearing site data for presencepass.com removes everything in the table above, which means the banner will ask you again.
Security
Data is encrypted in transit, access is restricted to the organization’s own admins, and each pass is protected by a private token.
Members’ rights
To access, correct or delete their information, a member should contact their organization, which controls the data. We help organizations act on those requests.
Children
Some organizations include minors. The organization is responsible for obtaining any consent required for members under the age of consent where they operate.
International processing
Our providers may process data outside your country under appropriate safeguards.
