Who we are
Presence provides attendance and membership tools: Apple Wallet passes, QR check-in, reminders and reporting to churches, events and organizations ("organizations").
When an organization uses Presence to manage its members or attendees, the organization is the controller of that data and Presence acts as its processor. This policy explains what we collect and how we handle it.
Information we collect
Account details for administrators, meaning name, email address and organization information.
Member and attendee details that an organization adds, such as names, contact details (phone, email) and notes such as department or role.
Check-in records, meaning the time of each scan, the service or session, the device or operator who scanned, and, when the device shares it, the location used for venue geofencing.
Pass data, meaning the pass token and, for Apple Wallet, the device registration needed to keep a pass up to date.
Payment information, processed by our payment provider (Paystack). We do not see or store full card numbers.
Technical data, meaning log, device and usage information needed to run and secure the service.
How we use information
To provide the service: issue passes, record check-ins, send reminders, and produce reports.
To take payment and manage subscriptions and message credits.
To provide support, keep the service secure, prevent abuse, and meet legal obligations.
Sharing and sub-processors
We do not sell personal data. We share data only with the providers that power the service: Google Firebase (hosting, database, authentication), Paystack (payments), Resend (email), Meta / WhatsApp and SMS gateways (reminders, where enabled), and Apple (Wallet passes).
We may disclose information if required by law or to protect our rights and users.
Messaging
When an organization enables WhatsApp or SMS reminders, it is responsible for having the recipient’s consent. Messages are sent through the providers above using the contact details the organization holds.
Data retention
We keep data for as long as an organization’s account is active, and for a reasonable period afterward to meet legal, accounting, and security needs. Organizations can delete members and records at any time.
Security
We use industry-standard measures, including encryption in transit, access controls and tenant isolation, to protect data. No method of transmission or storage is completely secure, but we work to safeguard your information.
Your rights
Members and attendees should direct requests to access, correct, or delete their information to the organization that holds it (the controller). We support organizations in fulfilling those requests. You may also contact us and we will help route your request.
Children
Where an organization records data about minors, it is responsible for obtaining any consent required by law.
International transfers
Our providers may process data in other countries. We rely on appropriate safeguards offered by those providers where required.
Changes
We may update this policy from time to time. Material changes will be reflected by the date below.
